Who is responsible for your data

Hireable Hub is operated by Tom Archbold (trading as Hireable Hub). Tom is the data controller for all personal data collected through hireablehub.org. Contact: tom.archbold15@outlook.com

ICO registration

Hireable Hub is in the process of registering with the Information Commissioner's Office (ICO) as a data controller. Registration is currently pending. This notice will be updated once registration is confirmed.

What information we collect and why

We collect personal data only for specific, legitimate purposes: Account creation and sign-in When you create a Hireable account, our authentication provider (Clerk) collects your name and email address. These are also stored in Hireable's database to provide your personalised dashboard and services. Career preferences During onboarding, you provide details including education stage, university, graduation year, interests, preferred locations, workplace preferences, and opportunity types. These are used to personalise your experience. Hugo LinkedIn profile review If you use the Hugo LinkedIn review tool, you enter your LinkedIn headline, About section, experience details, skills list, and profile completeness information. Hireable's own algorithm uses this to generate a score and improvement recommendations — entirely within the application, with no third-party AI processing your data. If you choose to save your review, the computed score, feedback, and the profile field values you entered are stored in Hireable's database. Hireable Score Your Hireable Score is computed automatically from information already in your profile. It is generated from information you supply and provides career-readiness guidance across several dimensions. Application Tracker Information you enter into your tracker (company, role, status, dates, notes) is stored in Hireable's database for your personal use only. Saved opportunities and recently viewed When you save or view an opportunity, a record of your interaction is stored in Hireable's database to power the relevant sections of your dashboard. Graduate Starter Pack and newsletter When you request the Starter Pack or sign up for the Hireable Newsletter, we store your email address. For the newsletter, we also record your consent — including the wording you were shown, the date you subscribed, and a unique unsubscribe token included in every email. Profile Polish When you submit a Profile Polish intake form, you provide your name, email address, LinkedIn profile URL, career goals, and optional context. This information is used solely to deliver your review. It is sent to Tom by email and is not stored in Hireable's database. Contact enquiries When you use the contact form, you provide your name, email address, enquiry type, and message. This is used solely to respond to your enquiry. It is sent to Tom by email and is not stored in Hireable's database. Site performance and usage We use Vercel Analytics and Vercel Speed Insights to measure site usage and performance. See the Storage, Cookies and Analytics section below for full details.

Lawful bases for processing

We rely on the following lawful bases under UK GDPR: Legitimate interests — providing the Hireable service Account creation, profile preferences, Hugo review and score, Application Tracker, saved and recently viewed opportunities, and Starter Pack delivery are processed because they are necessary to provide, operate, secure, and improve the Hireable service you have requested or are actively using. We have a legitimate interest in providing a functioning, secure and useful service. We use this information in ways we consider proportionate to that interest and take account of your privacy rights and reasonable expectations. Consent Newsletter subscriptions are processed on the basis of your affirmative consent, which is recorded with a version reference and timestamp. You can withdraw consent at any time using the unsubscribe link in any email. Legitimate interests Contact form enquiries and Profile Polish intake are processed to respond to requests you have initiated — we have a legitimate interest in being able to communicate with people who contact us. Rate limiting processes IP addresses briefly to protect the service from abuse — this is a proportionate security measure that does not significantly affect individuals. Legal obligation / legitimate interests Unsubscribe suppression records are retained to demonstrate compliance with your request not to be contacted. Analytical / PECR statistical purposes Site analytics are collected under the Privacy and Electronic Communications Regulations statistical purposes exception. Analytics data collected through Vercel does not identify individual users. An objection mechanism is provided: see Your Analytics Preference below.

Third-party services and recipients

We use the following service providers. Each is engaged as a data processor acting under our instructions: Clerk — authentication and identity management. Processes your name, email address, and session credentials. Clerk is a US-based company. A Data Processing Agreement with appropriate transfer safeguards is in place. Supabase — application database. Stores account-linked data: profile, preferences, Hugo reviews and score, Application Tracker, saved and recently viewed opportunities. Hireable's primary database is hosted in the UK (AWS eu-west-2, London). Supabase's DPA permits processing by Supabase and its subprocessors in other countries where necessary, subject to applicable transfer safeguards. Resend — transactional email delivery. Processes email addresses and, for Profile Polish, names, LinkedIn URLs, and career goals, solely for email transmission. Resend is a US-based company. A Data Processing Agreement with appropriate transfer safeguards is in place. Upstash — rate limiting. Temporarily processes IP addresses to enforce rate limits (minutes to hours, no persistent log). The Hireable rate-limiting instance is hosted in the UK (AWS eu-west-2, London). Upstash's DPA permits global processing subject to applicable transfer safeguards. Vercel — hosting, CDN, analytics, and performance monitoring. Hosts the Hireable application and serves all web traffic. Vercel may process normal website traffic information including IP addresses and request data in the course of hosting. Vercel also provides the analytics and speed insights tools described in the Storage, Cookies and Analytics section. Stripe — payment processing for Profile Polish. Stripe handles all payment data directly. Hireable does not receive or store payment card information. We do not sell, rent, or share personal data with third parties for marketing purposes.

International transfers

Some personal data may be transferred outside the UK: • Clerk is US-based. Transfers are covered by Clerk's DPA and applicable transfer safeguards. • Resend is US-based. Transfers are covered by Resend's DPA and applicable transfer safeguards. • Supabase hosts our primary database in the UK. Its DPA permits processing by Supabase and its subprocessors in other countries where necessary, subject to applicable transfer safeguards including the UK Addendum where applicable. • Upstash hosts our rate-limiting resource in the UK. Its DPA permits global processing where necessary, subject to applicable transfer safeguards. • Vercel is US-based. Hosting and serving the Hireable application involves processing by Vercel's US infrastructure, subject to Vercel's applicable data transfer arrangements.

How long we keep your data

Account data: kept while your account is open. When you delete your account, account-linked data (profile, preferences, Hugo reviews and score, Application Tracker, saved and recently viewed records) is permanently removed from Hireable's database. We do not automatically delete accounts for inactivity. Newsletter (active subscriber): kept while you are subscribed. Newsletter (unsubscribed): we retain only the minimum suppression record necessary to honour your unsubscribe request and demonstrate compliance. This ensures you are not re-contacted. Starter Pack-only lead (never subscribed): automatically deleted 12 months after the date you requested the Starter Pack. Profile Polish: submission data is held in Tom's email inbox only (not Hireable's database). We retain it for up to 12 months after service completion, or longer only if genuinely required for an unresolved dispute or legal obligation. Contact enquiries: held in Tom's email inbox only. Retained for up to 12 months after the enquiry is resolved, with the same limited exception. Analytics: aggregate usage data held by Vercel under their terms. We do not control Vercel's own retention practices. Rate-limiting records: IP addresses are held in Upstash Redis for the duration of the rate-limit window only (between 10 minutes and one hour depending on the endpoint) and are not retained beyond that.

Hugo and Hireable Score — automated processing

Your Hireable Score and Hugo LinkedIn review results are generated automatically using information you supply. They are designed to provide career-readiness guidance to help you understand and improve how your experience is presented. These outputs are not employment decisions. They do not affect any decision made by an employer. They do not guarantee employment, interview invitations, or any particular outcome. If you choose to save a Hugo review, the computed score and recommendations are stored in your account. You can delete your account at any time, which removes this data permanently.

Your rights

Under UK data protection law you have the right to: • Access the personal data we hold about you • Ask us to correct inaccurate data • Ask us to delete your data (where we have no overriding legal basis to retain it) • Object to processing based on legitimate interests • Withdraw consent for newsletter emails at any time (via the unsubscribe link in any email, or by emailing us) • Request restriction of processing in certain circumstances • Data portability in certain circumstances To exercise any of these rights, or to ask a question about how we handle your data, email tom.archbold15@outlook.com. We aim to respond within one calendar month. If your request is complex we may extend this by a further two months and will let you know.

Right to complain

Storage, Cookies and Analytics

How Hireable uses your browser

Hireable uses a small number of browser cookies and local storage items. We do not use any third-party advertising cookies. The items below are the complete list.

Authentication cookies (set by Clerk)

When you are signed in, Clerk sets several cookies to manage your session: • __client, __client_uat — session and client authentication tokens • __session — your active session identifier • clerk_active_context — active authentication context • __clerk_environment — Clerk environment configuration (localStorage) These are strictly necessary for the sign-in functionality to work. They are managed entirely by Clerk and are removed when you sign out or they expire naturally.

Security cookies (set by Cloudflare via Clerk)

Clerk's infrastructure uses Cloudflare for security. This may set: • __cf_bm — Cloudflare bot management (session) • __cfuvid — Cloudflare user session identifier (session) These are strictly necessary for security and service protection.

Administrative session (Hireable internal)

• admin_auth — an HttpOnly, Secure cookie used to authenticate the site administrator. Set only on admin login. Expires after 8 hours. Not set for regular users.

Career tool storage (functional)

• hireable_hugo_v1 (localStorage) — stores your Hugo job-matching preference answers, matched opportunity IDs, and match scores. Does not contain your LinkedIn profile text. Retained for 7 days from the date you last completed the matching questionnaire; the data is ignored after that and the tool resets. • hugo_pending_review (sessionStorage) — temporarily holds your Hugo LinkedIn review result (score and feedback) while you sign in, so it is not lost during the authentication redirect. Contains the computed review output only — not your raw LinkedIn text inputs. Expires after 30 minutes or when the tab is closed, whichever comes first. Deleted immediately once the review is saved.

Analytics markers (statistical)

The following localStorage items are used only for aggregate analytics purposes. They are only written if analytics are enabled (i.e. you have not objected): • hireable_first_dash — records whether you have visited the dashboard before, so the analytics count distinct first-time visits. Contains only a timestamp. • hireable_signed_up — records whether a sign-up event has already been counted for this browser, to avoid double-counting. Contains only a timestamp. Both items are removed if you turn off analytics using the preference control below.

Analytics preference (your control)

• hireable_analytics_pref (localStorage) — records your analytics preference. When analytics are off, the value is 'off'. When analytics are on (the default), this key is absent. This item is always written in response to your choice and is not itself an analytics marker.

Vercel Analytics and Speed Insights

Hireable uses two Vercel tools: Vercel Analytics counts page views, referrers, and broad device/browser categories. No personally identifiable information is attached to these measurements in Hireable's analytics data. We also send a small number of typed product events (such as "opportunity saved" or "profile polish CTA clicked") to help us understand how the site is used — event properties contain only categorical values and content identifiers, never names, email addresses, or user identifiers. Vercel Speed Insights measures Core Web Vitals (page load performance metrics) and the page route. No personally identifiable information is attached. Neither tool sets cookies. Both are loaded only if analytics are enabled. Vercel hosts the Hireable application and may process normal website traffic data (including IP addresses and request information) as part of its hosting infrastructure, independently of the analytics tools above. These tools are provided by Vercel Inc. (US). See the International Transfers section of the Privacy Notice for the current position on Vercel's data processing arrangements. You can turn analytics off using the control below. If you turn analytics off after the page has already loaded, a page reload is needed to fully stop the Vercel scripts for that session — the control will prompt you.

About Hireable Hub

Hireable Hub is operated by Tom Archbold (trading as Hireable Hub). The site is accessible at hireablehub.org. By using Hireable Hub you agree to these terms. If you do not agree, please do not use the site. These terms do not affect any statutory rights you have as a consumer under English law.

Your account

You can create a free Hireable account to access the dashboard, career tools, and personalised features. You are responsible for keeping your sign-in credentials secure. We reserve the right to suspend or close accounts that are used to abuse, misuse, or harm the platform or other users. We will use reasonable judgment before taking such action and will tell you if we do so, unless we are legally prevented from doing so. You can delete your account at any time. Account deletion removes your account-linked data from Hireable's database as described in the Privacy Notice.

Free features — Hireable Score, Hugo, Opportunities, Tracker and Resources

The following features are free to use and provided as part of the Hireable service: • Hireable Score — an automatically computed career-readiness score based on your profile information • Hugo LinkedIn review — an algorithmic LinkedIn profile review tool • Opportunities Hub — a curated feed of graduate and student opportunities • Application Tracker — a personal tool for tracking job applications • Resources — guides, checklists, and the Graduate Starter Pack These features are provided to help students and graduates understand and improve how their experience is presented. They are offered on an as-available basis. We may change, update, or withdraw features with reasonable notice where possible.

Hireable Score and Hugo — automated outputs

Your Hireable Score and Hugo LinkedIn review results are generated automatically using information you provide. They are designed to give you career-readiness guidance and practical suggestions. These outputs: • are not employment decisions and have no bearing on any decision an employer makes about you; • do not guarantee employment, interview invitations, placement offers, or any other outcome; • are indicative and based on the information you enter — the quality and accuracy of the output depends on what you provide; • should be treated as guidance, not professional careers advice. Hireable's own algorithmic processing is used to generate these outputs. No third-party artificial intelligence model processes your data to produce them.

Opportunities Hub and external opportunities

The Opportunities Hub contains curated graduate and student opportunities. Hireable makes reasonable efforts to keep listings accurate and up to date, but: • we do not guarantee the accuracy, completeness, or availability of any listed opportunity; • opportunities are sourced externally and provided by third-party employers or organisations; • clicking an opportunity link takes you to a third-party site that we do not control; • we are not responsible for the content, accuracy, or practices of third-party employer sites or application processes. Hireable is not a recruitment agency and is not party to any employment or placement application.

Application Tracker

The Application Tracker is a personal organisational tool. Data you enter is stored in your account solely for your own use. Hireable does not share or analyse your tracker data.

Resources and Graduate Starter Pack

Resources and the Graduate Starter Pack are provided for your personal use. You may share links to resources but may not republish, redistribute, or resell content from Hireable Hub without written permission.

Profile Polish

Profile Polish is a paid LinkedIn profile review service delivered personally by Tom Archbold. When you purchase a package, you receive written feedback and, depending on your package, rewritten copy for sections of your LinkedIn profile — delivered by email within the stated turnaround time. What is included: exactly what is listed on the Profile Polish page. All reviews are written personally by Tom. No outsourced work, no templates. What is not included: Profile Polish is a written review service. Tom will not edit your LinkedIn profile directly — all suggested changes are delivered as copy you implement yourself. Profile Polish does not guarantee employment outcomes. It provides professional feedback on how your experience is communicated. Turnaround times: times listed on the Profile Polish page are targets, not guarantees. During busy periods Tom may take slightly longer. If your review will be delayed beyond the stated window, Tom will let you know.

Acceptable use

By using Hireable Hub, you agree not to: • use the platform to submit false, misleading, or harmful information; • attempt to disrupt, overload, or gain unauthorised access to the platform or its infrastructure; • use automated tools to scrape, extract, or bulk-download content without permission; • use the platform or its content for commercial purposes without permission; • republish, resell, or pass off Hireable content as your own. We reserve the right to restrict access for users who breach these terms.

Intellectual property

The Hireable Hub website, including its text, design, tools, algorithms, and resources, is the intellectual property of Tom Archbold trading as Hireable Hub, unless otherwise stated. All rights are reserved. You retain ownership of any content you enter into the platform (profile information, tracker entries, etc.). By providing this information, you grant Hireable Hub a limited, non-exclusive licence to process and store it as necessary to provide the services described in these terms and the Privacy Notice.

Third-party links and services

Hireable Hub contains links to third-party websites, employer sites, and external services. These links are provided for your convenience. We have no control over and take no responsibility for the content, privacy practices, or availability of third-party sites. Visiting a linked site is subject to that site's own terms and privacy policy.

Availability and changes to the service

We aim to keep Hireable Hub available and working well. However, we do not guarantee uninterrupted availability. We may need to take the service offline for maintenance or upgrades and will try to give reasonable notice where possible. We may add, change, or remove features over time. If we make changes that significantly affect a paid service you have already purchased, we will contact you.

Limitations and disclaimers

Nothing in these terms limits or excludes any rights you have as a consumer under applicable English law that cannot be excluded by contract, including rights under the Consumer Rights Act 2015. Subject to that: • Hireable Hub and its tools are provided in good faith and with reasonable care, but on an as-available basis without warranty of fitness for a particular purpose. • Career-readiness scores and recommendations are guidance only. Hireable Hub is not a regulated careers service and does not provide professional careers advice. • We are not liable for decisions you make based on the outputs of automated tools, or for outcomes of job applications, interviews, or placements. • Our total liability to you for any claim arising from your use of free features is limited to £100. Our total liability for any claim arising from Profile Polish is limited to the amount you paid for the relevant review. • We are not liable for loss of data or opportunities caused by factors outside our reasonable control, including third-party service outages.

Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales, except where mandatory consumer protection law gives you the right to bring a claim in a different jurisdiction.

Our commitment

Every Profile Polish review is written with genuine care and attention. If you are not satisfied with your review, get in touch.

How to request a refund or revision

If you feel your review did not deliver what was described, email tom.archbold15@outlook.com within 14 days of receiving it. Explain specifically what you were expecting and what you feel was missing. Tom will either revise the review at no additional cost or, if that is not appropriate, offer a full or partial refund. Refunds are not offered for reasons outside the scope of the review — for example, because you did not receive a job offer, or because you changed your mind after submitting your profile details. Nothing in this policy affects your statutory rights as a consumer.

How refunds are processed

Refunds are processed via Stripe to the original payment method. They typically appear within 5–10 business days depending on your bank or card provider.
